About Expense Tracker
Tracks costs and income by category in any currency, with tax, vendor and a running total, without needing a dedicated accounting app. Entries live in your project, so the Event Budget Planner, Profit Margin Calculator, and invoice and receipt tools all see them. Attach a receipt photo or PDF to an entry, repeat a monthly bill, filter by month or date range, and optionally set a budget to see how much is left.
Pick your currency, then add each cost or income with a category, amount and optional tax. Totals and the category breakdown update at once. Download a CSV that other tools can open again, an Excel sheet, a PDF, or a ZIP of the CSV with your receipts, or save the whole project file to keep everything.
Categorize consistently from the start, and enter the tax rate if you want the total to match what you actually paid. Nothing is uploaded anywhere: entries and receipts are erased when you close the tab, so save the project file or export if you want to keep them.
Watch: Expense Tracker in Action
- Can I attach receipts?
- Yes. Attach a photo (JPG, PNG, WebP) or a PDF of up to 10 MB to any entry and a thumbnail shows beside it. The file stays in your browser tab and is never uploaded. CSV and receipts (ZIP) downloads a folder of your receipts next to the CSV, and the Receipt column in the CSV points to each file.
- Can I see spending by month?
- Yes. Pick a month, or set a From and To date, and the list, totals, category bars and every download cover only those entries. With entries in more than one month a By month chart shows costs and income side by side. Repeat monthly adds one entry for each month from the entry date up to a date you choose.
- Can I export my tracked expenses for taxes or bookkeeping?
- Yes — expenses are tracked in a structured way that can be reviewed or exported, useful for staying on top of deductible business costs throughout the year rather than reconstructing them at tax time.
- How does the budget comparison work?
- Enter a number in Budget (optional). The tool subtracts the total of all entries and shows Remaining Budget in green, or Over Budget By in red when spending exceeds it, with a line stating spent versus budget. A blank or zero budget hides the panel.
- Which categories can I choose from?
- Business has eleven: office and supplies, software and subscriptions, travel, meals and entertainment, a marketing heading, equipment, professional services, rent and utilities, payroll and contractors, taxes and fees, other. Personal has eight: Food, Transport, Housing, Utilities, Entertainment, Health, Shopping, Other.
- Can I fix an entry I typed wrongly?
- Yes. Press the pencil beside the entry to load its date, category, description and amount back into the form, change what you need, and press the button again to save. The X cancels the edit. The trash button deletes an entry at once, with no undo.
- What does the CSV contain?
- Four columns: Date, Category, Description and Amount, with amounts to two decimals and every field in quotes, in the order shown on screen. Avoid starting a description with =, +, - or @, because a spreadsheet may read such a cell as a formula.
- Will my expenses survive closing the tab?
- Only for this visit. They stay while the tab is open and are erased when you close it, receipts included. Nothing is stored online, so export a CSV, Excel sheet, PDF or ZIP, or save the project file, if the records matter to you.
How to use Expense Tracker
Pick a Categories set first: Business offers eleven headings such as Software & Subscriptions and Payroll & Contractors, and Personal offers eight, including Food, Housing and Health. Then fill the entry row: Date (today by default), Category, an optional Description and Amount, and press the plus button. The amount must be above zero.
Total Expenses at the top and the By Category bars update straight away. Type a figure into Budget (optional) to see either Remaining Budget or Over Budget By. Each entry has a pencil that loads it back into the form for editing, with an X to cancel, and a trash button to delete it. Export as CSV downloads expenses.csv; Excel, PDF and a ZIP of the CSV with your receipts are there too.
Attach Receipt takes a photo or PDF for the entry, Repeat monthly until adds one entry for each month up to the date you pick, and Month or From and To limits the list, totals and downloads to a period.
When to use it
Use it to watch one budget period, such as a month of household spending, a holiday, a freelance project or the tools and subscriptions of a side business. It is quick when you want a running total and a category breakdown without opening a spreadsheet or setting up an accounting package, and the Business list helps you sort costs you may later hand to a bookkeeper.
When not to use it
It is not an accounting system. It records costs and income with an optional tax rate, vendor and category, but receipts stay in your tab with no text reading, there is no bank import, and it does not convert between currencies. Repeating entries are created as ordinary entries, not a live schedule. For invoicing, tax filing or reconciliation, use bookkeeping software.
Tips for best results
The total and the budget comparison count every entry, so start a new period by exporting the CSV and then choosing Delete all my data, which also clears the budget; otherwise you compare this month's budget with last month's spending. Put the vendor name in Description. Export before you close the tab, because the CSV is the only way to keep your entries.
Limitations
Amounts are shown in the project currency, and changing it relabels your entries rather than converting them; lines in another currency are listed but left out of the totals. The list is shown with the newest-added entry first rather than sorted by date, and there is no search. Receipt files live in memory for this visit only and are not part of the project file. The CSV can be reopened in the other event tools, and the project file is the way to keep everything beyond this tab. Category names cannot be added or renamed, only chosen from the two built-in sets.
Privacy
Entries and your budget stay on your device. The page keeps them in this tab for the visit and never uploads them; the CSV is generated locally and lands in your downloads folder. They disappear when you close the tab or press Delete all my data, which asks for confirmation first.
