About Mail Merge to PDF
Turns a table of names and details plus a template into one page per person: letters, certificates, notices or award slips. Put {{Field}} in the template wherever a value from the table should go, for example Dear {{First Name}}. Download one PDF with every record, or a ZIP with a separate PDF for each. It runs in your browser, so the list is not uploaded.
Paste your table or drop a CSV file. The first row has to be the column names. Write the template, using the same names inside double curly braces. Check the preview, step through a few records, then download.
Check for empty cells and misspelled field names in the notes under the preview before you print many pages. A field that is not in the table stays visible as {{Name}} so you can spot it.
- How do I add a name or detail to the template?
- Type the column name from your table inside double curly braces, for example {{First Name}}. Matching ignores capital letters and extra spaces.
- What happens if a field name is wrong?
- It stays visible as {{Name}} in the preview and the tool lists it as not in your table, so you can fix the spelling before you download.
- Can I get a separate PDF for each person?
- Yes. Choose the ZIP download. Files are named from the column you pick, or by row number if you leave it empty.
- Is my list uploaded?
- No. The table and the template stay in your browser.
How to use Mail Merge to PDF
Paste your table, or drop a CSV file; the first row must hold the column names. Write the template and put {{Column name}} wherever a value should appear, for example Dear {{First Name}}. Choose Letter or Certificate, set the type size, and step through the preview to check a few records.
Then download one PDF that holds every record, one page each, or a ZIP with a separate PDF per record, named from a column you choose such as the person's name.
When to use it
Use it for personalised letters, certificates of completion, award slips, notices to tenants or members, thank-you notes and any job where the same text goes to many people with a few details changed.
When not to use it
It does not send email or post, and it does not design a letterhead or logo; the pages are text only. For a formatted certificate with artwork use the Certificate Maker. For labels use the Label Sheet Maker.
Tips for best results
Read the notes under the preview before printing: they point out field names that are not in your table and rows with empty cells. Keep column names short and free of braces. Print one page first to check the layout.
Limitations
Up to 500 rows at a time. Text is wrapped to the page and a record that needs more than one page continues on the next, which the tool reports. Letters and certificates are plain text with one style per run. Non-Latin text is drawn as pictures, so it cannot be selected in the PDF.
Privacy
The table and the template stay in your browser tab and are not sent to a server. They are cleared when you close the page.
