About Merchandise Quantity and Order Sheet
Works out how many T-shirts, bags, lanyards and other giveaways to order. It uses your head count, a spare percentage, the supplier's minimum order and pack size, splits sized items by a typical size mix, and totals the cost.
Set the number of people (or take it from your guest list), then add each item with its quantity per person, unit cost and the supplier's minimum order. Tick Sized for clothing. Copy the order, download a CSV or PDF for the supplier, or add the total to your budget.
Order the minimum the supplier allows only if you will use the surplus. Check the size mix against your own crowd: events with more women or a younger audience skew smaller than the default.
- How is the quantity worked out?
- People times the quantity per person, plus the spare percentage, rounded up. Then the supplier's pack size and minimum order are applied, so you may order more than you need. The extra is shown with its cost.
- How are sizes split?
- Sized items are divided by a typical size mix, adding up exactly to your order. Open Size mix to change the shares to suit your crowd.
- Can I use a fixed number instead of per person?
- Yes. Choose Fixed number for items such as 25 speaker gifts. Spare percentage does not apply to fixed items.
- Can it add the cost to my budget?
- Yes. Add total to my budget sets a Merchandise line in your project budget, which then shows in the Event Budget Planner and Event Profit Ledger.
- Is anything stored?
- No. Everything is worked out in your browser and the project is erased when you close the tab unless you save the project file.
How to use Merchandise Quantity and Order Sheet
Enter the number of people, then add each item with its quantity per person, unit cost and the supplier's minimum order and pack size. Tick Sized for clothing. Copy the order, download a PDF or CSV for the supplier, or add the total to your budget.
When to use it
Use it before you order event T-shirts, tote bags, lanyards, pens or speaker gifts, to avoid running short or paying for a mountain of surplus.
When not to use it
It does not know your supplier's prices or lead times, and it does not place orders. Confirm artwork, delivery dates and printing charges with the supplier.
Tips for best results
Ask the supplier whether a higher quantity lowers the unit price enough to justify the surplus, and keep a few spares for late guests.
Limitations
Prices are what you enter. Setup fees, shipping and tax are not included. The default size mix is general and should be adjusted for your audience.
Privacy
Everything is worked out in your browser. Nothing is uploaded or kept, and the project is erased when you close the page unless you save the project file.
