About Event Day-Of Schedule Builder
Builds the schedule for your event, on one day or several, with start and end times, rooms and presenters. It warns you when two sessions overlap in the same room or with the same person, and it shares the same agenda as the other event tools in your project.
Add sessions with a start time and a title, and optionally an end, room and presenter. Pick the day at the top, or add another day. Use 'Move times' when the whole day slips. Download Excel or CSV, copy as text, or import a CSV from a spreadsheet.
Give every session an end time. That is what lets the tool catch clashes and show how long each one runs. Save the project file so the agenda comes back next time and the other event tools can use it.

- Can I plan more than one day?
- Yes. Use Add another day, pick the date, and switch between days with the Day menu. Copy and the downloads include every day, grouped by date.
- What does the overlap warning mean?
- Two sessions on the same day overlap in time and share a room or a presenter. Back-to-back sessions are fine. The warning needs end times, so give each session one.
- What does Move times do?
- It shifts every start and end on the day shown by the number of minutes you enter, later for a positive number and earlier for a negative one. Use it when a delay pushes the whole day. Times stop at the edge of the day instead of wrapping around.
- Can I bring a schedule in from a spreadsheet?
- Yes. Download the blank CSV, fill in Title, Day, Start and optionally End, Room, Presenter and Notes, and use Import CSV. Dates must be written year-month-day, such as 2026-11-13, and times as 24-hour hours and minutes. Rows with a problem are skipped and listed so you can fix them.
- Is this schedule shared with the other event tools?
- Yes. The sessions live in your project alongside your guest list, so the same agenda can feed other event tools. Save the project file to keep it; without that it is erased when you close the tab.
- What does the copied text and the Excel file contain?
- The copied text has the event name, then each day with one line per session showing the times, the title, and the room and presenter in brackets. The Excel file has a Schedule sheet with Day, Start, End, Length, Session, Room, Presenter and Notes columns in time order.
How to use Event Day-Of Schedule Builder
Name the event, then add sessions. Each one has a start time and a title, and can have an end time, a room and a presenter. Pick the day from the Day menu or add another day with its date. If the whole day slips, enter the minutes in Move times, for example 15 or -30, and press the button.
The Preview shows the chosen day in time order. Copy schedule, Download Excel and Download CSV include every day. Import CSV adds sessions from a spreadsheet, and the blank CSV shows the columns.
When to use it
Use it for the run of show for a wedding, conference, school function or fundraiser, whether it is one afternoon or several days. Give each session an end time and the overlap warning will catch a room or a presenter booked twice. It suits handing one clear timeline to the caterer, the DJ and the volunteers.
When not to use it
It is a schedule, not a project plan: it does not assign tasks, send reminders or notify anyone when a session comes due. For tasks with owners and deadlines use the Event Checklist Planner. It does not convert between time zones.
Tips for best results
Give every session an end time. Use the same spelling for rooms and presenters so clashes are caught. Save the project file at the end of each planning session.
Limitations
Times are 24-hour hours and minutes and belong to one time zone, so a session that crosses midnight should be split in two. Overlaps are only found when sessions share exactly the same room or presenter name (ignoring capital letters). Move times works on one day at a time.
Privacy
The schedule is built and exported on your device. Nothing you type is sent anywhere. It is kept for this visit in your project and erased when you close the tab unless you save the project file.
