About Rooming List Planner
Builds the rooming list for your event: who stays where and on which nights. It counts rooms and room nights, shows how many rooms you need each night, warns about double bookings and missing roommates, and writes the block request to send to a hotel.
Add guests with check in and check out dates, or press Add rooms for guests who need a stay to fill them from your guest list. Set the hotel and room type, mark who shares. Then copy the block request, or download the list as a CSV or PDF.
Check out is the morning the guest leaves, so one night is check in 10 October, check out 11 October. When two people share, enter both and put each name in the other's Shared with, so the pair counts as one room.
- How are rooms counted when two people share?
- If each names the other in Shared with and the dates and hotel match, the pair counts as one room. Otherwise each person counts as a room.
- What is a room night?
- One room for one night. Three rooms for two nights is six room nights. Hotels price and contract blocks this way.
- What does the block request contain?
- The number of rooms needed each night, the peak night, totals and a breakdown by room type, as plain text you can paste into an email to the hotel.
- Can it fill rooms from my guest list?
- Yes. Guests marked as needing a stay with arrival and departure dates become rooms in one step.
- Is my data stored?
- No. It stays in your browser tab and is erased when you close it. Save the project file to keep it.
How to use Rooming List Planner
Add rooms with check in and check out dates, or build them from your guest list. Fix any warnings, then copy the block request or download the CSV or PDF.
When to use it
Use it when guests, speakers or crew need hotel rooms and you must tell a hotel how many rooms you need on which nights.
When not to use it
It does not book rooms or check availability. Rates and contracts are between you and the hotel.
Tips for best results
Ask the hotel for a cut-off date, after which unused rooms in the block are released, and tell guests to book before it.
Limitations
Dates are whole days with no times. Late arrivals and early departures should be noted separately.
