About Event Profit Ledger
Turns the income and costs in your project into one profit and loss statement for the event: income by category, costs by category beside what you planned, profit, margin, the tax inside the amounts, and the figures per head.
Add income and costs in the Expense Tracker (and plans in the Event Budget Planner). Open this tool to see the statement. Set the number of heads if you want per-head figures, then copy it or download a PDF or CSV.
Record every payment, even small ones, and tag income and costs with a category. A statement is only as complete as the entries behind it. The tax lines are information, not tax advice.
- Where do the numbers come from?
- From the income and cost entries in your project, the same ones you record in the Expense Tracker, the Invoice and Receipt makers and the Purchase Order tool. Planned amounts come from the Event Budget Planner.
- Does it handle tax?
- Amounts are shown with tax included. The statement also shows how much tax sits inside the income and the costs, using the rates you entered. This is information only and not tax advice.
- What are the per-head figures?
- Income, cost and profit divided by the number of heads. By default that is confirmed and attended guests with their plus-ones from your guest list, and you can type your own number.
- What if I used more than one currency?
- Only entries in the project currency are counted. The tool tells you how many were left out. Change the project currency to see the others.
- Is anything stored?
- No. The statement is built in your browser and the project is erased when you close the tab unless you save the project file.
How to use Event Profit Ledger
Record income and costs in the Expense Tracker, and planned amounts in the Event Budget Planner. Open this tool to see the statement with totals, profit and margin, the tax inside the amounts and per-head figures. Copy it, or download a PDF or CSV.
When to use it
Use it at the end of an event, or at any point while planning, to see whether you are on track to make or lose money and to give a client, sponsor or board a simple statement.
When not to use it
It is not accounting software and does not file taxes, track payments due or reconcile a bank account. Show the numbers to your accountant for official reporting.
Tips for best results
Tag every entry with a category so the statement groups it, and use the same spelling as your budget lines so planned and actual line up.
Limitations
It only knows what you have recorded. Entries in other currencies are left out, and tax is split using the rates you entered, not looked up.
Privacy
The statement is built in your browser. Nothing is uploaded or kept, and the project is erased when you close the page unless you save the project file.
