Name Badge Maker
Print event name badges from your guest list or typed names, with optional QR passes, on Letter or A4 badge sheets
One badge per line: Name | Organisation | Role. Typed badges have no QR pass; use project guests for that.
2 across × 3 down, Letter paper. If your pack differs, use "My own grid".
0 badges. Names stay in this page and are never sent anywhere.
Print at 100% (Actual size), never "Fit to page". Test on plain paper and hold it against a real sheet first.
About Name Badge Maker
Prints name badges for your event on badge-insert or large label sheets (US Letter or A4), with the event name, each person's name, organisation and role, and an optional QR pass that your door check can read offline.
Use the guest list from your project (or type names, one per line as Name | Organisation | Role), choose your badge sheet, and download the PDF. Print the test page on plain paper first and hold it against a real sheet.
Print at 100% or Actual size. QR passes are signed with your project file, so keep that file: it is how the door check recognises real passes. To finish a part-used sheet, set 'Start at badge' to the first free spot.
- Which badge sheets does it support?
- Name badge inserts with 6 per sheet at 4 x 3 inches (Avery 5392 and equivalents) on US Letter, and large 8-per-sheet labels (Avery L7165 and equivalents) on A4. For any other sheet, choose My own grid and enter your measurements. Print the test page on plain paper first and hold it against a real sheet.
- Where do the names come from?
- From the guest list in your project (the same one the Guest List Tracker uses), or from names you type, one per line as Name | Organisation | Role. You can pick confirmed guests, everyone except declined, or every guest.
- What is the QR code on the badge?
- A signed pass code for that guest. It holds a random guest ID and a signature made with a key stored in your project file, not the guest's name or email. A door check using the same project file can confirm a pass is genuine without any internet connection.
- Can I print extra badges for walk-ins?
- Yes. Add blank badges and they print with the event band and no name, ready to fill in by hand. Use 'Start at badge' to finish a part-used sheet.
- Is my guest list uploaded anywhere?
- No. The names and the PDF are made in your browser, nothing is uploaded or kept, and the project is erased when you close the tab unless you save the project file.
How to use Name Badge Maker
Choose whether the badges come from the guests in your project or from names you type. Pick your badge sheet (or measure your own grid), set the event name and band colour, and check the preview. Add blank badges for walk-ins if you want them, then download the PDF and print it at 100%.
When to use it
Use it for conference, corporate, wedding-party or exhibition badges where the names already live in a guest list, or for a quick set of name tags typed in by hand. The QR pass lets a door check recognise genuine badges offline.
When not to use it
It does not design logos or photos on the badge, print lanyards or holders, or look up people from an outside system. For a certificate or pass with a custom design, use the certificate or pass tools.
Tips for best results
Print the test page first and hold it against a real sheet in front of a window. Turn off 'Fit to page' in the print box. Save the project file after printing so the same key checks the passes at the door.
Limitations
Badge sheet sizes follow the standard published layouts for the codes shown, but printers differ by about a millimetre, so always test on plain paper. Very long names are shrunk to a small size and then cut off, and the tool warns you when that happens.
Privacy
Names, organisations and roles stay in your browser and are turned into the PDF there. Nothing is uploaded or kept, and the project is erased when you close the page unless you save the project file. QR codes contain a random guest ID and a signature, never a name or email.
