About Event Closure Report Maker
Builds the closing report for an event from your project: attendance, programme, income and costs against budget, open tasks and vendors, plus your own notes on highlights, problems and lessons. Download it as a PDF or copy the text for an email.
Fill the project through the other event tools, then open this one. Add the venue and organiser, tick the sections you want, and write a few lines for highlights, what went wrong and what to do next time. Check the preview and download.
Write the lessons while the event is fresh. A short list of what to repeat and what to change is what makes next year's event easier.
- What goes into the report?
- Overview, attendance, programme, finance, tasks and vendors, taken from your project, followed by the highlights, problems, lessons and thanks that you type. Untick any section you do not want.
- How is attendance worked out?
- From the guest statuses in your project. The rate is guests marked attended divided by those attended or confirmed. Mark attendance in the Guest List Tracker first, otherwise the report says attendance has not been marked.
- Where do the finance figures come from?
- From the income and cost entries and the budget lines in your project, in the project currency. Entries in other currencies are left out and the report says how many.
- Can I send it by email?
- Download the PDF to attach it, or copy the text into the body of an email.
- Is anything stored?
- No. The report is built in your browser and the project is erased when you close the tab unless you save the project file.
How to use Event Closure Report Maker
Fill your project through the event tools, then add the venue and organiser, tick the sections to include and write your highlights, problems and lessons. Check the preview and download the PDF or copy the text.
When to use it
Use it when an event ends and you owe a client, sponsor, committee or your own team a summary of how it went and what it cost.
When not to use it
It does not collect feedback surveys or audit the accounts. Figures are only as complete as the entries in your project.
Tips for best results
Mark attendance and enter the last expenses before you build the report, and keep each lesson to one clear line.
Limitations
One plain layout in your chosen colour. Sections with no data are left out. Labels are in English.
Privacy
The report is built in your browser. Nothing is uploaded or kept, and the project is erased when you close the page unless you save the project file.
