Calendar Invite Maker
Make a calendar file (.ics) for one event or your whole event schedule, with the right time in every time zone
About Calendar Invite Maker
Makes a calendar file (.ics) that opens in Google Calendar, Apple Calendar, Outlook and others. Make one event for an invite, or turn your whole project schedule into one file so guests can add every session at once.
Choose one event or your project's schedule. For one event, fill in the title, date, time, time zone and where it is, then download. Guests open the file and the event is added at the right time for their own time zone.
Always set the time zone the event happens in. The file stores the exact moment, so a guest in another country sees it in their own local time. Add a reminder so the event is not forgotten.
- Which calendars can open the file?
- Google Calendar, Apple Calendar, Outlook and most other calendar apps open .ics files. Guests open the file or tap it in an email, and the event is added to their calendar.
- Will guests in other time zones see the right time?
- Yes. You choose the time zone the event happens in, and the file stores that exact moment, so every guest sees it in their own local time. Daylight saving changes are handled.
- Can I make one file for the whole schedule?
- Yes. Choose My project schedule and every session in your project goes into one file, each with its room as the location and the presenter and track in the details.
- Does it send the invitation?
- No. It only makes the file. Attach it to an email or put it on your event page yourself. Nothing is uploaded, and no one is told anything.
- What if I change the event later?
- Make the file again and send it. Each event keeps the same identifier, so most calendar apps update the existing entry instead of adding a second one.
How to use Calendar Invite Maker
Choose One event or My project schedule. For one event, type the title, pick the date, the start and end times and the time zone it happens in, then add where it is, a link and any details. Pick a reminder and download the .ics file. For the schedule, check the number of sessions shown and download one file with all of them.
When to use it
Use it when guests should be able to add your event or schedule to their own calendar: a wedding, a conference day, a webinar series or a team offsite.
When not to use it
It does not send invitations, track replies or update calendars that already have the event. For replies, use a tool that handles RSVPs.
Tips for best results
Set the zone the event happens in, not where you are. Add a reminder of 15 minutes or a day. Test the file by opening it in your own calendar before you send it.
Limitations
Events do not repeat, and each has one start and end. An end earlier than the start is treated as the next day. Times need a valid time zone name such as Europe/Berlin.
Privacy
The file is built in your browser. Nothing is uploaded or kept, and the project is erased when you close the page unless you save the project file.
