About Seating Chart Planner
Plans who sits where. Set the number of tables and seats per table, then seat guests from your guest list by choosing a table for each, or let the planner seat everyone who has no table, keeping people from the same organisation together. It warns about full tables and parties that do not fit.
Load or add your guests (the Guest List Tracker shares the same list). Set tables and seats, press Seat everyone automatically, then move anyone with the Table menu beside their name. Copy the list, or download a CSV or PDF for your venue.
A guest's plus ones count as seats at the same table. Seat people with special needs first, then let the planner fill the rest. Table names you already used on the guest list are kept.
- How does automatic seating work?
- Guests without a table are grouped by organisation and the biggest groups are placed first, each at a table that has room for the whole group. Leftover people fill remaining gaps. Anyone already at a table stays put.
- Do plus ones take seats?
- Yes. A guest with two plus ones uses three seats at the same table.
- What if a table is too full?
- It is outlined and a warning says by how many seats it is over. A party larger than a table is flagged too.
- Is this a floor plan?
- No. It plans who sits at which table. For booths and stand layouts use the Booth Layout Planner.
- Is my guest list uploaded?
- No. It stays in your browser tab and is erased when you close it.
How to use Seating Chart Planner
Set tables and seats per table, press Seat everyone automatically, then adjust with the table menu beside each name. Download the plan when it is right.
When to use it
Use it for weddings, galas, dinners, conferences with assigned tables and any event where guests have assigned tables.
When not to use it
It does not draw a floor plan or know guest relationships. Check family and business sensitivities yourself.
Tips for best results
Seat the guests with access needs first, near exits or the stage as needed, then run automatic seating for everyone else.
Limitations
All tables have the same number of seats. Tables with different sizes can be handled by adding the extras to a named table and checking the seat count.
Privacy
Nothing is uploaded or stored.
