About Clean PowerPoint for Sharing
Gets a PowerPoint presentation (.pptx) ready to send to someone else. It finds what the file carries besides the slides themselves, such as speaker notes, comments, hidden slides, the author's name, who last saved it, the company name and a small stored picture of the first slide, and lets you remove each kind. The file is rewritten properly, so nothing is left pointing at what was taken out, and it opens in PowerPoint as usual.
Removing a hidden slide also removes the pictures only that slide used, so the file gets smaller too. Cleaning does not touch what is written on the visible slides, the text inside charts, the data behind charts, or the location and camera details inside photos, and the "Not changed by this tool" box under the result lists what applies to your file. If the slides still carry a name or a figure you do not want to share, edit the slide itself. Old .ppt files: open them in PowerPoint and save as .pptx first.
- What exactly does it remove?
- You choose from: speaker notes, comments (old and new style, with the names of who wrote them), hidden slides, the author, last-modified-by, company and manager names with the revision list, and the small preview picture of the first slide stored in the file. You can also remove the title, subject, keywords and description, and custom properties. The checklist shows what was found in your file, with names and counts, before you remove anything.
- Will the cleaned file still open in PowerPoint?
- The file is rewritten as a complete package, not patched: the slide list, the links between parts and the content-type list are updated, and parts nothing points to any more are deleted. The tool then reopens its own result and checks for anything left dangling, and we test it with the same reader this site uses to draw slides and with LibreOffice. Open it once before you send it, as you would any file.
- If I remove a hidden slide, what happens to its pictures and links?
- Pictures that only that slide used are removed with it, so the file also gets smaller. A link on another slide that jumped to the removed slide loses the link and keeps its text.
- What does it not touch?
- Text written on the visible slides, including text hidden behind shapes or placed off the edge of a slide, is not changed. Pictures keep their own details such as the camera and place a photo was taken, and charts keep the spreadsheet data they were made from. If a slide shows a name or figure you do not want to share, edit the slide itself.
- Is my original file changed?
- No. You download a new file with “-clean” added to its name, and the original stays as it was.
How to use Clean PowerPoint for Sharing
Drop a .pptx file. The tool reads it and lists, in a checklist, what the file carries: speaker notes with the number of notes pages, comments with how many and who wrote them, hidden slides by number and title, the author, last-modified-by, company and manager names, and the stored preview picture. Each line shows exactly what was found, and a line with nothing found is greyed out. Tick what to remove and press the button. You then see a table of before and after, a short list of what was done, a preview of the cleaned deck next to the first slide of the original, and a note listing what the tool does not touch. Download the new file, named after yours with “-clean” added.
When to use it
Use it before a deck goes to a client, a customer, a conference or the public. Decks accumulate reviewer comments, notes written for yourself, slides you hid because they were not ready and the names of everyone who touched the file. The checklist makes those visible, which is often the point: many people find out what was in their deck only here.
When not to use it
This is not a redaction tool. If the slides themselves show a name, a figure or a client you must not reveal, change the slide. Cleaning does not remove text hidden behind shapes or placed off the edge of a slide, the details inside photos, or the data behind charts. If a legal process needs a guarantee, have the file reviewed by a person.
Tips for best results
Compare the Before and After table with the checklist you ticked, and open the cleaned file once yourself. If you remove hidden slides, check that nothing on the visible slides pointed at them; links that did lose the link and keep their text. Leave Title, subject and keywords ticked off unless you want them gone too, since a deck without a title can look odd in a file list.
Limitations
The file is rewritten as a whole package and checked, and it opens in the reader this site uses and in LibreOffice, but it has not been tested in every version of PowerPoint, so open it once before you send it. Only .pptx is supported. Pictures keep their own details such as the camera and place a photo was taken. Charts keep the spreadsheet data they were made from. Title, subject, keywords and custom properties stay unless you tick them, because some people want them kept.
Privacy
The presentation is opened, changed and saved inside your browser, so the file is not uploaded. The tool shows names found inside your file on screen only. A request that counts the use goes to this site when you download and carries no part of your file.
