About User Manual Writer
Builds a structured, properly formatted user manual from your own content, organized into standard sections like Overview, Getting Started, and Troubleshooting.
Fill in each section with your own content, add or remove sections as needed, and export the finished manual as a print-ready PDF.
Write the Troubleshooting section last, after you've documented the normal workflow — it's much easier to anticipate what will actually confuse someone once you've walked through the full process yourself.
Watch: User Manual Writer in Action
- In what order should I write the sections?
- Write the Troubleshooting section last, after you've documented the normal workflow — it's much easier to anticipate what will actually confuse someone once you've walked through the full process yourself.
- Does this tool write the manual for me?
- No. It formats what you enter. The only built-in text is a one-line placeholder in each of six starter sections, and those should be replaced. The tool adds the title block, version line, Contents list and section numbers around your own writing.
- How do I get a PDF?
- Press Print / Save as PDF, then pick Save as PDF as the printer in the dialog your browser opens. Only the manual preview is printed; the editing panel is hidden for printing. Page margins are set to 0.75 inch.
- Why is there no Contents list on my manual?
- The Contents list appears only when the manual has more than two sections. With one or two sections it is left out. Add a third section and it shows up, listing each heading in order with its number.
- Can I reorder sections or save my work?
- Not directly. Sections stay in the order they were added, and there is no move button. Nothing is stored either, so a refresh restores the defaults. Copy your text somewhere safe if you may come back to it later.
- Can I add pictures or formatting?
- No. Section bodies are plain text, with your line breaks kept as typed. For screenshots or diagrams, print the manual to PDF and combine it with images in another editor, or use a word processor from the start.
- Is there an international standard for instructions for use?
- IEC/IEEE 82079-1 covers principles and general requirements for preparing instructions for use of products. This tool does not certify compliance with it. Check the official source and any rules for your product and market. Official source: IEC: IEC/IEEE 82079-1
How to use User Manual Writer
Start with Product Name and Version at the top; they feed the title block of the manual shown in the preview on the right. Six sections are already there: Overview, Getting Started, How to Use, Troubleshooting, Safety Warnings and Support, each holding a one-line placeholder. Replace each placeholder with your own text, rename a heading by editing its field, or press the bin icon to remove a section.
Add Section appends an empty one called New Section. Order follows the list, and the numbers and Contents list update by themselves once there are more than two sections.
Press Print / Save as PDF to open your browser's print dialog, then choose Save as PDF as the destination.
When to use it
Handy when you need a tidy, numbered document for a small product, internal tool, kit or service and have the facts but no template. Typical cases are a handover sheet for a client, a quick-start guide for a hobby project, or a one-page set of instructions for a household device. You get a consistent title block, contents list and section numbering without opening a word processor.
When not to use it
It does not write content for you, so if you need someone to draft the instructions, this is only the layout. Avoid it for manuals with screenshots, diagrams, tables or page numbers, because the body text is plain and no images can be added. Long regulated documents, such as safety manuals for equipment sold to the public, need a proper document tool and a qualified reviewer.
Tips for best results
Keep headings short, since each appears twice, once in the Contents and once above its section. Line breaks you type in a body box are preserved in the printout, so you can number steps by hand, one per line. Check the preview before printing, and in the print dialog switch off headers and footers if your browser adds a date or web address to each page. Your edits are not saved, so finish in one sitting.
Limitations
Everything is plain text. There is no bold, bullet list, image, table or page number feature, and sections cannot be reordered, only deleted and added again at the end. Nothing is stored between visits, so refreshing the page returns the default six sections. The PDF comes from your browser's print function, so layout and page breaks depend on the browser, though each section is set to avoid splitting where possible.
Privacy
The manual is built entirely in your browser from what you type, and the text is never uploaded. Because nothing is saved, closing or refreshing the tab discards it, so keep a copy of anything you need. Printing to PDF happens through your own browser and operating system. The site may count a use when you press Print / Save as PDF, without your manual content.
