Build a Trip Budget That Splits Hotel and Flight Costs Correctly

Total a trip by category in the Travel Budget Planner, with per-day and per-person switches so one shared hotel room is not counted twice.

Two friends agree on a week away, one of them opens a spreadsheet, and within ten minutes the hotel has been multiplied by two travelers, the flights have been counted once instead of twice, and nobody trusts the total. The mistake is not arithmetic. It is that some costs belong to the trip, some belong to each person, some repeat daily and some happen only once.

Travel Budget Planner gives every cost line two switches for exactly that reason: "per day" or "one-time", and "per person" or "whole group". You enter trip length and number of travelers, set the amounts, and it returns the total, the cost per person and the average per day.

The clip below walks through filling in the planner from the first category to the final total.

What the planner starts with

Open the tool and you get seven lines already filled in, so there is something to react to rather than a blank page. With a 7-day trip and one traveler the starting amounts are:

  • Lodging: 120 per day, whole group
  • Food: 50 per day, per person
  • Local Transport: 20 per day, per person
  • Activities: 40 per day, per person
  • Flights: 450 one-time, per person
  • Travel Insurance: 60 one-time, per person
  • Shopping / Souvenirs: 100 one-time, per person

Each line multiplies its amount by the number of days if it is "per day", and by the number of travelers if it is "per person". Lodging is the only line set to "whole group" because a hotel room costs the same whether one or two people sleep in it.

Worked out by hand for the starting setup: lodging is 120 x 7 = 840, food 50 x 7 = 350, transport 20 x 7 = 140, activities 40 x 7 = 280, then flights 450, insurance 60 and shopping 100. The sum is 840 + 350 + 140 + 280 + 450 + 60 + 100 = 2,220. With one traveler the cost per person is also 2,220, and the average per day is 2,220 / 7, which is about 317.

A worked example for two travelers

Now change Travelers to 2 and leave everything else alone. Lodging stays at 840 because it is a group line. Food becomes 50 x 7 x 2 = 700, transport 20 x 7 x 2 = 280, activities 40 x 7 x 2 = 560, flights 450 x 2 = 900, insurance 60 x 2 = 120 and shopping 100 x 2 = 200.

The total is 840 + 700 + 280 + 560 + 900 + 120 + 200 = 3,600. Per person that is 1,800, and the daily average is 3,600 / 7, roughly 514. Notice what happened: doubling the travelers did not double the trip. It went from 2,220 to 3,600, an increase of 62 percent, because the shared room absorbed the second person at no cost.

That is the number worth showing a travel partner. The per-person figure of 1,800 is lower than the solo figure of 2,220, which is a concrete reason to travel together, and it is a figure both of you can check line by line.

Step by step: budget a trip in the planner

  1. Pick the currency at the top right. Every total on the page is shown in that currency.
  2. Type the trip length in days and the number of travelers. Both must be whole numbers of at least 1; a trip that is 6.5 days becomes 6 or 7 depending on when you leave and land.
  3. Go down the list and replace each default amount with a real quote: the nightly rate from a booking page, a flight price per ticket, an insurance quote per person.
  4. For each line check the two selects. A rental car or a double room is "whole group". A train pass or a museum ticket is "per person".
  5. Read the three cards: total trip cost, per person, and average per day. The total is what you need to save. The per-person number is what you divide among travelers. The daily average tells you whether the plan fits a daily spending limit.
  6. Press Add category for anything the list lacks, such as visas or a rental car. A new row is named Custom category, starts at 0, one-time and whole group, so set its switches as well as its amount.
  7. If an amount or the day or traveler count is not valid, the field turns red and the totals show a dash until you fix it, so a typo never slips into the total unnoticed.
  8. Use Reset to defaults to restore the starting trip and categories, or Clear all categories to start from nothing. Both ask you to confirm and offer an Undo afterwards.
Tip

Enter lodging as the price of one room, not a per-person share, and the group switch does the rest.

Four travelers, ten days, two rooms

Here is a case where the defaults need real editing. Four friends plan a 10-day trip and book two rooms at 120 each per night. Because Lodging is a single line, enter 240 per day and keep it on "whole group". Leave the other lines on their defaults.

Lodging is 240 x 10 = 2,400. Food is 50 x 10 x 4 = 2,000. Transport is 20 x 10 x 4 = 800. Activities are 40 x 10 x 4 = 1,600. Flights are 450 x 4 = 1,800, insurance 60 x 4 = 240 and shopping 100 x 4 = 400. The total is 2,400 + 2,000 + 800 + 1,600 + 1,800 + 240 + 400 = 9,240.

Per person that is 9,240 / 4 = 2,310, and per day it is 924. If the group had wrongly set lodging to "per person" the hotel line would have jumped to 9,600 and the total to 16,440, a mistake of more than 7,000. That is the error the switches are there to prevent.

Budget against actual spending

Every row also has an Actual spent box. Leave it empty before the trip, then type what each category really cost as receipts come in. Beside it the planner shows how far that row is under or over its plan, and below the three cards a line sums up the categories you have filled in.

Take the two-traveler budget above. Midway through, lodging comes to 800 against a plan of 840, so it shows 40 under. Food reaches 760 against a plan of 700, so it shows 60 over. The summary line compares only those two categories: planned 840 + 700 = 1,540 against actual 800 + 760 = 1,560, which is 20 over plan. Categories with no actual figure yet are left out, so a half-finished trip is never judged against costs you have not paid.

Adding a custom category works the same way. A visa fee of 160 for the group goes in as a new row, one-time and whole group, which lifts the two-traveler total from 3,600 to 3,760 and the per-person figure from 1,800 to 1,880.

Common mistakes

  • Treating a per-day cost as a one-time cost. A 40 a day activities budget over 10 days is 400, not 40.
  • Setting the whole hotel to per person, which multiplies a shared room by the headcount.
  • Forgetting costs that do not repeat: travel insurance, visas, airport transfers and checked bags belong on one-time lines.
  • Mixing currencies. Convert foreign prices first with Currency Converter, then type the converted figure so the whole budget sits in one currency.
  • Leaving no cushion. Add a category called Buffer, or raise Food a little, because unplanned spending always finds a line to land in.

Make the budget useful before you leave

A total is only the start. Once the budget looks right, lay out the days in Travel Itinerary Planner so the activities line matches things you will actually do, and build a Travel Packing List so checked-bag fees and last-minute purchases are not a surprise. Both sit with the other trip planners in the travel tools category.

The planner keeps your numbers for the current visit only and sends nothing to a server, so close the tab when you are done. If you want to keep a figure, write it down before leaving. You get 2 trial usages a day on the site; after that a $3 day pass or $9.99 a month continues access.

Open Travel Budget Planner, set your own days and travelers, and compare your total with the examples above. Which costs on your last trip surprised you most, and would you like a post on keeping them in check? Tell us on the contact page.
