What Event Suite Premium Keeps About Your Event

Clear data note for Event Suite Premium: what is stored, 1 GB shared limit, messaging retention, deletion.

Before Priya Nair puts real guest emails into Midwest Product Expo 2027, her legal reviewer asks what Event Suite Premium actually keeps. This post answers that question in plain language—no scare words, no false "we store nothing" claims—and points you back to Event Suite for the product itself.

One job only: understand what stays in the browser, what lands in the account for Premium event apps and messaging, how the 1 GB ceiling works, and how deletion works when Premium ends.

Correct plan facts (use these, not older notes)

  • Event Suite is $29.99 a month. Event Suite Premium is $49.99 a month.
  • Both plans include 1 GB of account storage. Saved projects work on both.
  • Charges are monthly. New accounts can trial for 7 days. There is no single-day pass.
  • Premium adds: the three event apps (Event Guide, Door Check, Booth Leads), email to guests with RSVP links and scheduled reminders, and optional text reminders through the organiser's own Twilio account.
  • No automatic expiry of event data. It stays until the organiser deletes it, or Premium ends, or the account is deleted. The only limit is the 1 GB, shared by saved projects, published events, check-ins, and leads.

What stays in the browser tab

While you are planning without saving, work can remain in the browser tab. Saving a project to the account uses part of the 1 GB. Closing a tab without saving is not a backup strategy for a live show.

Sibling planners such as Guest List Tracker and Event Budget Planner follow their own tool behaviour; this article focuses on Event Suite Premium event apps and messaging. See also event tools.

What Premium event apps keep

For Premium event apps, FreeDailyPro keeps:

  • The published event (details, programme, announcements)
  • The guest list shown to door staff (name, ticket type, status)
  • Door check-ins
  • Each booth's leads (owned by that booth link; organiser sees counts, not lead identities)

That is the minimum needed for phones to validate passes offline, merge check-ins across doors, and let exhibitors export their own CSV later.

What guest messaging keeps

When you use Premium email and RSVP features, the system keeps guest names, emails, RSVP answers and, for guests who chose text, mobile numbers, up to 180 days. Texts use the organiser's own Twilio account and number; FreeDailyPro does not ask for the Twilio password or Auth Token. Messaging limits from the product (for example guests per message and daily caps) still apply—state them in operational posts when you send mail, not as legal advice here.

Deletion and end of Premium

All of the kept event and messaging data remains until:

  • the organiser deletes it, or
  • Premium ends, or
  • the account is deleted

When Premium ends or the account is deleted, that data is erased. Download a copy first—booth CSVs, guest exports, and any project files you still need.

There is no silent calendar expiry that wipes a published event while Premium is active and under 1 GB.

Limits tied to data size

  • Published event up to 2 MB (roughly 20,000 guests)
  • Up to 50 published events and 60 links per event
  • Up to 300 programme items and 100 announcements
  • Shared 1 GB across saved projects, published events, check-ins, and leads

If you approach 1 GB, archive offline copies and delete published events you no longer need.

Common misunderstandings

  • "Browser-only" for a published Premium event with live door check-ins—false; apps need the published snapshot and check-in merge.
  • "Organiser can read every booth lead"—false; counts only.
  • "Data vanishes 30 days after the show automatically"—false under the current rules; deletion is organiser action, Premium end, or account deletion.
  • "Twilio means FreeDailyPro texts from its own numbers"—false; texts use the organiser's Twilio setup.
  • Using Premium data notes as legal advice for every jurisdiction—this is a product data description, not counsel.

Practical checklist before you upload the real list

  1. Confirm you are on Event Suite Premium if you need apps or guest email.
  2. Save the project deliberately; know what sits in the 1 GB.
  3. Publish only when ready for phones to read a snapshot.
  4. Minimise fields on the door list to what staff need (name, ticket type, status).
  5. Tell exhibitors when you will delete the published event so they export first.
  6. For messaging, collect consent in your own process before send; tick the product confirmation when you mail.
  7. Before cancelling Premium, export everything you still need.
